Public

Event management

Run many events on one platform—each with its own branding, capacity, schedule, and bilingual content—while attendees see only what is published and open.

  • Multiple independent events with separate settings, teams, and operational scope
  • Draft, published, and archived lifecycle so drafts stay hidden until go-live
  • Per-event capacity limits and registration open/close windows
  • English and Arabic titles, descriptions, and public landing content

Public

Registration

Attendees complete guided registration for an open event, submit the fields you require, and receive confirmation with booking reference and ticket details.

  • Online registration forms tailored per event with required and optional fields
  • Free and paid guest rules, allocation limits, and validation before submit
  • Email OTP where configured to confirm the registrant owns the address
  • Instant confirmation with booking reference and links to tickets and self-service
  • Rehearsal mode with a linked rehearsal session so teams can test registration, tickets, and check-in before event day

Public

Digital tickets

Each booking gets a durable online ticket board with traceable ticket numbers for the primary attendee and every guest.

  • Public ticket page at a stable URL per booking reference
  • Distinct ticket numbers for primary and guest attendees
  • Status badges for active, used, or revoked tickets aligned with check-in activity
  • Linked from confirmation emails and the self-service portal

Public

QR codes

Every attendee receives their own scannable QR—cryptographically signed so gates can trust what they read at entry.

  • One QR code per primary attendee and per guest, generated when tickets are issued
  • Signed tokens verified on scan; tampered or unknown codes fail closed at check-in
  • Displayed on the public ticket board and embedded in PDF tickets
  • Confirmation emails link to the ticket page rather than embedding QR images (better deliverability)
  • Pairs with web check-in so staff only need a browser camera—no separate QR app

Public

PDF tickets

Print-ready ticket PDFs bundle the primary attendee and every guest on one document—with embedded QR codes—for email, download, or event-day backup.

  • Generated automatically when confirmation (and related) emails send, attached as QF-tickets-{bookingRef}.pdf
  • Layout aligned with the public ticket page: booking reference, ticket numbers, status, and one QR per attendee
  • English and Arabic copy with RTL-friendly typography where the booking locale is Arabic
  • Emails link to the online ticket board; PDFs are the offline-friendly copy for gates and attendees without inbox access

Public

OTP gating

Sensitive public and staff flows require a one-time code sent to the user’s email before the app reveals data or completes sign-in—no shared passwords for attendees.

  • Six-digit codes delivered by secure email with a short expiry window so codes cannot be reused indefinitely
  • My bookings: enter email, verify OTP, then view and edit only bookings tied to that address
  • Event registration: OTP confirms the registrant owns the email before submission or lookup continues
  • Staff portal: invited users activate via email link, then verify OTP to sign in—separate from attendee flows
  • Per-event OTP email templates (English and Arabic) editable under Communications, seeded from your confirmation design
  • Codes stored hashed server-side; expired OTPs are cleared automatically

Public

Self-service portal

After OTP verification, attendees use My bookings to look up registrations and make allowed changes themselves—no helpdesk ticket required.

  • Look up bookings by email once identity is verified (see OTP gating)
  • Edit guest count and guest details within each event’s free and paid limits
  • Update attendee information; view booking reference, ticket status, and issued QR codes
  • Deep links from confirmation emails to edit guests or download tickets

Public

Mobile-friendly responsive layouts

Public registration, tickets, my bookings, and the marketing site adapt from phone to desktop—readable type, touch targets, and navigation that work on small screens without a separate app.

  • Fluid layouts and breakpoints on landing, event pages, registration forms, and the self-service portal
  • Collapsible public header menu on narrow viewports; desktop nav stays in the inverse bar
  • Ticket boards and PDF-friendly flows usable on phones at the gate or in the inbox
  • Arabic locale with RTL document direction where routes and copy require it
  • Admin check-in and operational views usable on tablets and phones in the browser

Public

Multilingual support

English and Arabic run through the same public flows—copy, layout direction, and URLs stay aligned so attendees and staff can work in the language they expect.

  • Language switcher on public pages; preference persisted for return visits
  • Arabic public routes under /ar with matching English paths; event landings support both locales
  • Document lang and dir (LTR / RTL) updated automatically on public marketing and self-service pages
  • Bilingual event titles and body content on registration, tickets, landing pages, and confirmations
  • Platform-wide strings (navigation, footer, form labels) editable in admin Localization for EN and AR
  • Transactional email and PDF ticket copy respects the booking or template locale where configured

Operations

Live dashboard

Event teams monitor registration, attendance, and capacity as numbers change— with a configurable board per event for event-day and planning visibility.

  • Live stats: registrations, confirmations, guests, tickets issued, check-ins, check-outs, revenue, and no-shows
  • Charts for registration trends, guest mix, ticket delivery, and locale breakdown
  • Capacity bars, ranked option lists, and breakdowns from Manage Options fields
  • Drag-and-edit widget layout saved per event; refresh on demand for up-to-date figures
  • Export dashboard snapshot to Excel; super admins switch events from the header scope
  • Works alongside rehearsal mode to validate metrics before the main event

Operations

Registration management

Staff search, filter, and act on bookings—confirm, suspend, cancel, or resend tickets.

  • Bulk actions and detailed booking timelines
  • Guest allocation and paid guest limits
  • Audit-friendly change history per booking

Operations

Web check-in

Venue and gate staff run check-in from the admin site in any modern browser—no native app install, app store download, or dedicated scanning hardware required.

  • Full check-in workspace in the browser on phones, tablets, and laptops
  • In-page camera QR scanner plus manual ticket number entry and attendee lookup
  • Check-in and check-out for primary attendees and guests, with clear scan feedback
  • Event-scoped access via roles and permissions; rehearsal mode for dry runs before event day
  • Per-event rules for scan methods, multi-use entry cycles, and guest check-in on event day
  • Works with signed QR codes from digital tickets, PDFs, and the public ticket board

Operations

Communications

Design and send branded emails from templates tied to each event.

  • GrapesJS email editor with confirmation and reminder templates
  • Broadcasts to registrants with delivery reporting
  • Cancellation and suspension notifications

Operations

Landing pages

Build marketing and info pages per event without deploying new code.

  • Visual page builder with path suffixes
  • Bilingual HTML content
  • Linked from public event URLs

Operations

Reports & exports

Export registration and attendance data for finance, security, and planning.

  • CSV and Excel exports with date ranges
  • Approval workflow for sensitive exports
  • Broadcast and export audit records

Administration

Event settings

Configure capacity, pricing, fields, localization, and event lifecycle from admin.

  • Draft, published, and archived events
  • Manage dropdown options and localization strings
  • Per-event dashboard layout and rehearsal links

Administration

Users & roles

Invite staff, assign roles, and scope access by event or team.

  • Built-in and custom roles assigned per user
  • Role hierarchy and event assignment
  • Platform teams and super-admin governance

Administration

Permissions

Fine-grained access control defines what each role can see and do—globally or per event—through an editable matrix in Settings.

  • Feature areas: dashboard, events, registrations, check-in, reports, communications, logs, and users
  • Granular actions per area (view, create, edit, export, scan, send, approve, manage teams, and more)
  • Global defaults for platform-wide roles; event-scoped overrides when editing permissions for a specific event
  • Super Admin bypass; built-in roles are protected while custom roles stay fully configurable
  • UI and server checks use the same permission model so menus and APIs stay aligned

Governance

Audit logs

Every sensitive action is recorded with actor, target, and optional IP for compliance.

  • Searchable log of registrations, check-ins, and admin changes
  • Event-scoped and global log views
  • Structured actions for reporting

Governance

Approvals

High-risk actions such as exports can require reviewer approval before execution.

  • Pending, approved, and rejected request states
  • Reviewer notifications
  • Tied to export and broadcast workflows

Governance

Security

Security is layered across tickets, identity, access control, and operations—so public flows stay trustworthy and staff actions stay accountable.

  • Ticket QR codes are signed and verified at scan time; forgeries fail closed at check-in
  • Email OTP for attendees and staff with short-lived codes stored hashed server-side (see OTP gating)
  • Permissions matrix enforced in the admin UI and on server actions for every sensitive feature
  • Audit logs capture who changed registrations, check-ins, settings, exports, and broadcasts
  • Sensitive exports and mass communications can require approver sign-off before they run
  • Staff invites, roles, and event scope keep operational access limited to the right teams

Administration

QF design system integration

The platform uses Qatar Foundation semantic tokens, typography, and UI patterns so public and admin surfaces feel consistent with other QF digital products—not one-off styling per screen.

  • Shared foundations: color roles (interactive, inverse, layer, support states), borders, and backgrounds via QF CSS variables
  • QF variable font loaded app-wide with Tailwind semantic utilities mapped to design tokens
  • Reusable UI primitives (buttons, cards, badges, forms) styled against the same token set in admin and public flows
  • Inverse header, marketing shells, and admin chrome aligned to QF brand contrast and focus treatments
  • Light-theme defaults with token-driven theming hooks for future dark or event-specific accents

Administration

Modern stack

QF Events runs on a proven web platform—fast to ship, straightforward to host, and aligned with how QF deploys public-facing apps.

  • Next.js for the public site, admin console, and server-side registration and check-in APIs
  • Netlify for hosting, preview deploys, and environment-specific configuration
  • Transactional email and data services wired through the same deploy pipeline
